- WHO is your target audience?
Understand who your desired readers are so that you can focus on what will engage and benefit them.
- WHAT, exactly, will be the content of your writing?
Jot down an overview of just what you want to include.
- WHY are you writing this piece?
Do you aim to motivate? Inform? Advise? Promote something? Be clear on your purpose before you start writing and adjust your language and tone accordingly.
- WHERE will this writing end up?
Is this an internal memo to be read by colleagues or employees? A press release for the general public? Consider exactly where your writing will be read, and in what format.
- WHEN will this piece of writing be published and read?
Are you informing people about a new product due to be launched? Promoting a special event? Advising college graduates on their graduate school applications? Timing is crucial in these situations. Publish your writing too early and readers will have forgotten about it before the appropriate time rolls around - too late and opportunities will have been lost.
- HOW will you convey your message?
What will be your approach? Will your tone be cheerful and encouraging? Formal and official? Advertorial? Humorous? Different tasks call for different approaches.
Once you've answered the questions above, start to plan your writing. The main message should be apparent in the opening paragraph or sentence. This should be followed by supporting arguments and relevant details. Most writing tasks will also require a conclusion that briefly sums up your salient points and reiterates your main message. There may also need to be a call to action at this point - depending on what your writing task actually is.
Write an overview and plan in advance what each paragraph will deal with. Avoid repetition and/or the temptation to ramble on in a disorganized manner. Writing like this will simply leave your readers feeling muddled, confused and frustrated. Be concise and edit ruthlessly.
A well-organized piece of writing should achieve its objective - and, of course, you know exactly what the objective is, right?
